Position Summary

In alignment with the mission and vision of the YMCA of Honolulu, the Administrative Director collaborates closely with fellow YMCA team members under the leadership of the Program Executive Director of Teens & Young Adults. This pivotal role will manage and supervise the overall daily clerical/business office operations at our Atherton office located on the University of Hawai’i at Manoa campus. This position will perform a variety of administrative, staff, volunteer and program support duties that require a range of skills and knowledge of organizational policies and procedures. This position will assist and direct visitors, resolve administrative problems and inquiries; compose, edit, and proofread correspondence and reports, prepare a range of administrative documents, create and finalize promotional flyers, videos, and social media posts.

The Administrative Director operates with precision, adhering to established policies and procedures while strategically advancing the Association's overarching goals. The Administrative Director will work in conjunction with the Director of Life-Readiness to create quality programs. The ideal candidate should demonstrate excellent attention to detail, communications expertise, leadership qualities, and should possess knowledge of opportunities available on the University of Hawai’i at Manoa campus and beyond. The Administrative Director plays a central role in fostering and fortifying invaluable relationships and partnerships with educational institutions, colleges, program offices and community organizations, thus helping facilitate the design and implementation of impactful opportunities at the Y.

Essential Functions

  • Manage and supervise the overall daily clerical/business office operations for the Atherton YMCA office.
  • Ensure all reports, documents, and material are detailed, accurate and submitted in a timely manner.
  • Serve as the primary liaison between the stakeholder offices and the YMCA, ensuring effective communication and alignment with the YMCA’s mission, core values, and goals.
  • Stay informed about opportunities, trends, and developments in the University of Hawai’i system.
  • Develops and implements best practices and systems to ensure proactive oversight and management of any administrative duties.
  • Assists Program Executive Director with assigned administrative duties.
  • Collaborate with department leads, branch executives, and other organizational leaders to effectively execute tasks.
  • Works with the Program Executive Director in establishing annual budgets.
  • Works with the Program Executive Director to ensure the Association’s strategic goals are met.
  • Ensure quality and accountability of programs to meet Youth Development and YMCA Safety requirements, training, policies and procedures.
  • Ensure quality of marketing material to meet YMCA branding requirements.
  • Ensure the Atherton YMCA social media accounts adhere to policies and exceed engagement goals.
  • Works strategically with community partnerships on all youth development, healthy living and social responsibility programs and initiatives.
  • Willing and able to support other departments as assigned.

Qualifications

  • College degree in Public Health, Business, Communications, from the University of Hawai’i at Manoa.
  • Ability to plan, organize and implement focus area programs.
  • Excellent skills in staff supervision and development, communication, and human relations.
  • 2+ years of experience in working in youth development or human service programs and/or activities is preferred.
  • 2+ years of experience in working in a nonprofit is preferred.
  • Ability to motivate individuals, lead a team, and conduct training.
  • Ability to work with parents, teens, college students, and staff of diverse ethnic populations.
  • Adult and child CPR or CPR/PR, First Aid, and AED Certifications within 30 days of hire date.
  • Ability to relate to diverse groups of people from all social and economic segments of the community.

  • Proficiency in Google Suite, Microsoft Office, Windows XP, Canva, Canto preferred.
  • Ability to operate other software applications as required.
  • Ability to travel from one location to another in a timely location required.
